The situation

A locally owned freight carrier running general trucking and courier work across Saskatchewan, with no customer-facing system: no way for a customer to request a quote, see a price, track a load or retrieve an invoice. Their published marketing also advertised services the company does not run, including cross-border haulage, tanker, livestock and intermodal work.

What we found

The commercial reality did not match the published one, so the first deliverable was a signed capability audit — the client confirmed line by line what they actually haul, and twenty-two advertised capabilities came off the list. Operationally the business is three audiences with three different jobs — office dispatch, the shipping customer, and the driver in the cab — which one login and one screen cannot serve. Pricing was entirely tacit, with rates living in dispatchers' heads and no formula a quote form could call.

What we built

  • Three separate portals on one codebase — admin dispatch, customer and driver — each with its own login, session guard and API namespace
  • A quote-to-cash pipeline: public quote form, dispatch pricing, customer acceptance, and automatic order creation carrying every service attribute forward
  • A rules-based pricing engine — distance × equipment class, plus fuel, service-speed and handling surcharges — serving both the public form and the admin desk
  • A dispatch board with driver assignment and live GPS tracking rendered on a map for the office
  • A driver mobile workflow: accept load, advance status through the pickup-to-delivered chain, capture photo proof of delivery, set duty status
  • Invoicing auto-drafted on order approval with a deliberate send step, part-payment handling, PDF generation, expenses and driver payouts
  • A marketing site with a self-serve CMS built from a typed section registry, with revisions, a media library and a leads inbox
  • A machine-enforced service catalogue — one config file drives the API, the quote form, the pricing engine and the marketing copy, with tests that fail the build if a retired service reappears

Where it stands now

Built, deployed and live, hosted and maintained by us. The marketing site is the client's live web presence. The operational side is delivered and functional and is being brought into daily fleet use.
